Garden Spot Meeting

February 8, 2007

 

Twelve members attended the meeting whose signatures are on record.

 

The meeting was officially opened for business.  Minutes from the last meeting were read with no corrections.

 

Business discussed was as follows:

 

  • A mailbox for the Cultural Center was donated by the National LFAFA Vice President, Garry Jones.

  • Representatives from the National and Local LFAFA will participate in the Martin Luther King, Jr. Parade

  • President Sykes asked that a letter be sent from the Garden Spot Chapter to Carolyn Ellis thanking her for the efforts in putting on the MLK Parade.  It was noted that Floydetta Blount worked along with Carolyn Ellis and helped her to feed the people

  • Anita Sykes thanked all for the much work done by a few with respect to our pledges

  • Anita Sykes stated that a lot of telephone calls have been received concerning use of the Cultural Center.  Response is pending plumbing being put into place.

  • Anita Sykes and Janet Wiggins will take a weekend to work on the yearbook production

  • It was suggested that the yearbook pages sale for $150 and patrons $25.  The pages can be collaged and captioned.  Everyone will buy their books at this price.  After much discussion, John Miller Moved and Margaret Miles seconded that the yearbook pages be sold for $200 each and the person giving the money will receive the complimentary yearbookMotion carried.  Mary Shands suggested that a disclaimer be added to information being handed out stating the complimentary book will be given to the person giving the money to the yearbook committee.

  • Caterers Search Committee report was inconclusive.  Have contacted Kittrell and Associate and have been given a price of $7.50 per plate for Potato Salad, Cole Slaw, chicken, pork, and bread.  President John Miller stated that the search committee is to search for caterers only.  The Frink Class of 1959 is sponsoring the banquet.

  • Deadline for the 2007 calendar is October 1

  • Cultural Center Wish list was shared and discussed

  • Garry Jones with check with Frigidaire about donating a dishwasher and a microwave.  Anita Sykes stated that she is willing to give an advertising page for the two donated items.

  • The sewage line to the road was completed on yesterday.  Hookup to the building should be completed by next week.  Walter Ellis will contact Larry Dawson once this is completed.

  • Walter Ellis asked persons to sale ticket for the five cars to be given away.  He has 500 tickets.

  • Walter Ellis noted that the floors in the Cultural Center were done in-kind on last week.

  • Roger Miles stated that one big dinner sale is needed.  Will discuss this more at the next meeting.

  • The treasurers report was given by Armentria Mewborn Treasurer reported $3710.00 in the treasury Margaret Miles moved and Walter Ellis seconded that the treasurers report be received with no correctionsThe motion carried.

  • Norman Miles stated that emergency funds are needed to take care of unforeseen building expense at the Cultural Center.  There was a general discussion concerning this matter but no conclusion was reached.

 

There being no further business to discuss, the meeting adjourned at 7:56 pm.  Closing prayer was lead by Mary Shands.

 Garden Spot Chapter Meeting

January 12, 2007

Attending:       Floydetta Blount, Margaret Miles, Walter Ellis Jr., Ennis Sykes, John Miller.,  Janet Wiggins, Mary           Shands, Anita Sykes, Norman Miles

 Absent:            Armentria Mewborn, Roger Miles, Mamie Miles, Ralph Shands, Eugene Shaw

 

Minutes were read and accepted

 The meeting was opened for the discussion of business as follows:

  • 2006 calendar money should be turned in right away

  • 2007 calendars are available for delivery

  • Walter Ellis stated that the Annual Meeting Banquet Caterers Selection Committee will report at the next meeting

  • Janet Wiggins stated that two companies have been contacted concerning the publishing of the yearbook but we have not committed to either.   Over 90 letters were sent to businesses but only one response has been received to date from Kinston’s Mayor, Buddy Ritch.

  • Yearbook information was shared during the Annual Meeting Weekend.  Persons from other chapters have responded and purchased space in the yearbook.  One $500 page and two $250 pages have been purchased to date.

  • A yearbook will be given to the person or persons buying a $500 or $250 page.  If page is purchased by a group, the free yearbook will be given to the person giving funds to yearbook committee.

  • A limited number of yearbooks will be printed.  Reprint will be done for prepaid books only. 

  • Deadline for ordering yearbooks for the initial order is March 1.  A mass mailing may be sent to the membership and flyers sent to local churches.

  • Some unfavorable remarks concerning the Black History information in the 2007 calendar.- it took away space that had been used for note-taking in the past.

  • An evaluation of LFAFA events to be given at first Annual Meeting event - completed forms to be collected during the weekend.

  • John Miller read an evaluation received from Bobbitt Construction.

  • Norman Miles noted that persons questioned the limited number of minorities working on the Cultural Center site.

  • Anita Sykes stated that a walk through should be done at the Cultural Center prior to turn key.

  • John Miller advised that questions on the LFAFA Evaluation relating to Bobbitt Construction only include those things relating to the building of the Cultural Center.

  • Garden Spot Chapter will be represented in the Dr. Martin Luther King Jr. (MLK) Parade on Monday.   Some of the signs to be used were made by Applewhite.

  • Janet Wiggins moved and Floydetta Blount seconded that Garden Spot Chapter pay for signs to be used in the MLK ParadeThe motion carried.

  • Janet Wiggins moved and John Miller seconded that the meeting adjourn at 7:30 pmMotion Carried.

Garden Spot Chapter Meeting

Attending:             Anita Sykes, Margaret Miles, Addie Miller, Garry Jones, Armentria Mewborn, Mamie Miles, Roger Miles, Walter Ellis Jr., Ennis Sykes,

                                John Miller, Mary Shands, Ralph Shands

 

Absent:  Floydetta Blount, Janet Wiggins, Eugene Shaw

 

Meeting was called to order by President Anita Sykes.

 

The meeting was opened for the discussion of business as follows:

·         Two full projects are on-going and one project is on the back burner.  The calendar needs to be completed by the end of the month.  Calendar will be submitted October 15.

·         Treasurer report was omitted.  The only activity was a $100 donation that was given to Carolyn Sutton who lost her home in a fire.

·         The brick campaign will end on September 30

·         An Annual Meeting Banquet Committee has been formed to search out a Caterer f

·         As relating to the yearbook, persons are asked to send pictures with history enclosed.  This will serve as a legacy to be left for grandchildren.  The printing cost for the yearbook is several thousand dollars.  Roger Miles moved and Margaret miles seconded that one free yearbook be given for each $25 or $500 donationMotion carried

·         Color ads are now available in the yearbook for $25 extra cost.

·         A possible cover for the yearbook is picture of groundbreaking and a drawing of the cultural center.

·         Class presidents will be asked to buy an ad in the book.

·         Membership dues were collected

·         A telephone tree will be established to remind members or meetings
